Is Your Business Exposed?
It’s a question that every business owner worries about, but few have adequate procedures to cover.
When a new employee or contractor joins your organisation, you give them access to many parts of your business.
. . . including emails and your website.
But what about when they leave? . . .
There are so many things to remember to do, including:
- separation notices
- final pay and taxation paperwork
- the office keys and credit card
- pass code for the front door
- company id, business cards
- retrieve product samples and literature
- etc, etc, etc
But in the rush of business life, website security best practices are often overlooked.
But who remembers to cancel website and email accounts?
A disgruntled employee could delete or subtly alter pages or product information on your website, and change or delete customer information, from any web browser anywhere.
Of course, the IP address can usually be tracked and the culprit found – but by then the damage is done.
We can recover and reinstall the website in most cases, but again, the damage is done and there may be additional costs incurred.
And if the staff member decides to access their emails remotely, they could send damaging emails to your clients.
It is important that you keep the email address active, especially if the staff member had regular client contact by email. Because you want to continue to receive emails from those clients.
Best solution is to forward the email address to your account or another email address to monitor, so that you don’t miss an important sale email!
Add these steps into your HR Human Resources procedures manual to ensure that you follow website security best practices every time.
- Deactivate website user account
- Change email account password
- Forward emails from that account to your email address or another staff member.
By the way, your procedures should also include how to set these up for new staff.
